Stepwise Guide - Applying Housemanship in Malaysia 2020

After graduation, what should you do? How to apply for housemanship in Malaysia 2020? Here's easy and simplified, stepwise guide on how to apply for housemanship in Malaysia! - Updated as of 2020 - 


Steps
1. Submitting documents MMC
2. Applying online via the SPA8i website
3. e-Houseman (this will be approximately between 9 - 12 months after graduation)
4. MMC Provisional Registration Certificate
5. PTM

STEP 1 : MMC
Previously you can submit your documents manually to the MMC however since the COVID-19 pandemic, all applications are submitted online through the MMC website. 

All you have to do is to log in to http://meritsmmc.moh.gov.my

1. Register by keying in your NRIC
2. Key in your details as follows. 



 
If your university is not on the list, click on others; proceed to select your degree title.


3. You will have to complete your profile before proceeding to the next step. Click on biodata and complete your information.

- Gender

- Race

- Religion

- Residental and postal address

- Contact information

- Marital status



Click save to proceed.












4. Fill in 'date of passed exam' and 'date of awarded qualification'. You have to get these information from your respective university. Upon completion, you will be given a letter with the date of completion. The date of awarded qualification will be stated in your degree scroll. 



Note : Some of us are not sure about the date of awarded qualification; MMC informed that we can just fill up the 'date of passed exam' in both rows. 


5. Next, Provisional Registration. Click on Apply for Provisional Registration Eligibility Letter. Please take note of this letter as the reference number will be used to keyed into the SPA8i website. 

6. Fill in as follows:- 
i) Fitness to practice
ii) Documents 
    - Mandatory
    - Supporting documents
iii) Acknowledgement

Refer to the PDF guide prepared by MMC as attached below or you can visit the MMC website for the latest information.

You will have to download them from the MMC website, print them out, fill them manually and scan and convert the documents to PDF or PNG format. Maximum size of 2MB per document. Please note that all documents submitted to MMC must be certified true copy.

7. After you complete these steps, you will have to make a payment online through the MMC website. MMC will issue you a receipt after that. I am unable to comment how fast MMC will issue your Provisional Registration Eligibility letter (for my batch, we submitted it manually and they processed it within minutes to hours). Please take note of this letter as the reference number (top right) will be used to keyed into the SPA8i website. 

Some of you guys might wonder. What about this form?


During my time, I think we submitted it to MMC. (I can't remember this part :O) I'm not so sure how it works now (I guess you have to email them), you can try to call up the number (KKM ) as stated in the form or MMC yaaa. 


STEP 2 : SPA8i website
Some people say that you can create an account on this website first; the earlier you do the better. Yes, it's true because you will be 'ditapiskan' earlier if you register this early. HOWEVER, you will still need to key in your MMC letter number and click on 'kemaskini', which resets your queue.

2. Click on 'DAFTAR MYID BARU' and proceed to fill in your details as below.


3. Next, fill in the details which they need as below. You will see these information at the left side of your screen. You will have to fill in 

i) Maklumat pemohon

ii) Maklumat Akademik (if you took PMR, SPM, STPM, matrikulasi; your results are automatically in the system). 

iii) Under Maklumat Akademik, click on Pengajian Tinggi and key in the details. The Nama Sijil depends on the your degree (eg Bachelor of Medicine & Bachelor of Surgery, Doctor of Medicine etc).

iv) After that, click on Profesional/Iktisas/SKM/SVM. This is where you have to key in the MMC reference number from the letter you received from MMC.

v) You can then proceed to fill up your Maklumat ko-kurikulum etc. BUT the most important part is this. "JAWATAN DIMOHON"--> click on Pegawai Perubatan Gred UD41



Any information that you edited must be dikemaskini. Double check all the information that you keyed in is correct! Of course you can edit it later but you will also change the date of 'status permohanan' which resets your queue as I've mentioned earlier. When you are done with the 'Jawatan dimohon', proceed to click 'pengakuan pemohon', tick on 'saya setuju' and 'hantar'. 

P.S : this guy in my class clicked on 'kemaskini' on Jan 2020 which resets his queue; which means he will have to wait for an extra 9-12 months again.

And you're done! Every now and then you will have to login to click on 'semakan permohanan' to look at your tapisan but trust me, it's a long wait. The part where it stated 'Lantikan Kontrak', this will be your tapisan. 

In the meantime, you can join this telegram group https://t.me/joinchat/OKEgFkyiscVlAcBp_UHK3A for more updates, join the group with your tapisan members and wait till e-houseman comes. (which is like 9-12 months after you submit your SPA8i application!) Go to whatever you want in the meantime; study, work, go for a vacation, etc. Do prepare a list of hospitals you would like to go too, in case if you did not get the hospital which you target for.

Step 3 : E-houseman
Ooof, this is the dreadful part. How to know if you are selected for e-houseman? You can check the e-houseman website from time to time, or you can wait for someone to announce it in the telegram group. Everyone will be making a fuss at that time so you will know when it comes. You will receive an email from e-houseman; do check your inbox for junk mail!



Go to ehousemen.moh.gov.my and create an account there. Please create the account after you have gotten the email to avoid system error. Usually they give about 1-2 days for you to prepare after receiving the email. Always check the latest manual e-houseman as a guide. You can only login to the website sharp at 12pm; which is why the manual will serve as a rough guide to you. http://www.moh.gov.my/moh/resources/Manual_e-Housemen.pdf


Select a place with stable internet connection, preferably with a ping of <10. It can be your home, cybercafe or wherever. A stable internet connection increases your chance to grab your preferred hospital but DOES NOT GUARANTEE your chance. You might need two devices (computers please) in case one of your computer crashed. 

In those good old days we have to key in a lot of information; but now we only have to key in a little information by our own.
- Bilangan adik beradik (which does not include you of course)
- Your contact number
- Warganegara / Citizenship
- Bilangan anak 
- Pembiayaan (scholarship)

After that just click next! You wanna key-in your details quick so that you can proceed to the next step to choose your hospital! Some suggest that you list based on the name of hospital instead of listing by states because it will take some time for the page to load. 

Click on your name of the hospital you want and submit! You will then receive this message as below. Download all the 4 documents. Please make sure you download the offer letter as a proof! Screenshot this part too. There are cases where they got a placement in a particular hospital but when they checked their offer letter, the name of the hospital is not in the offer letter. Made a call to KKM and KKM said their name is not in the system. OUCH. WHYYYY.

A word of advice here, if you saw your preferred hospital is no longer in the list (eg, due to limited placements) you have two options; either to defer or to randomly grab another nearest hospital. 

Bear in mind that once you picked a hospital, you cannot choose to defer. KKM will assume you rejected the job offer and you will have to resubmit at the SPA8i website from scratch again (which is waiting for another 9-12 months). 

If you choose to defer, you'll just have to wait for the next intake. HOWEVER, you can only defer for a maximum of 6 months in total. (2-4 months each time)

Step 4 : MMC Provisional Registration Certificate
Now that you have completed steps 1-3, you can finally take a deep breath. No time for rest though! You gotta make sure you prepare a lot of documents. 

Note : CTC = certified true copy

For MMC (get this done quick because you will be only given a week to get this submitted to the MMC via their email)
- One CTC of Identification card
- One CTC of Degree certificate
- One CTC of Surat Tawaran Pelantikan

After you submitted their documents, MMC will email you to tell you when you can log into the http://meritsmmc.moh.gov.my to download your Provisional Registration Certificate. 

You will also have to prepare a set of documents to be submitted to the hospital. 

I am unable to elaborate further how many set of documents needed because it varies according to the hospital. After e-houseman, there will be separate hospital WhatsApp groups created; you can just join and communicate further with your colleagues there. 

Some hospital requires CTC of the documents, some hospital does not need it to be certified. Ask your hospital administration. They will provide a checklist of documents and you can prepare it accordingly. 

Generally, you will need to prepare copies of your
- Identification card
- Offer letter
- Surat setuju pelantikan asal
- Borang Perjanjian Kontrak ( 4 copies + stamping at LHDN office)
- Degree certificate
- SPM certificate
- Akuan Berkanun (download borang from here + get it signed and stamped from the Commissioner of Oath/ Pesuruhjaya Sumpah)
- Medical checkup (download the borang from here)
- Surat Aku Janji (differs according to hospital)
- MMC Provisional Registration cert
- PTM letter
- KWSP (statement / letter from KWSP as verification)
- LHDN (statement / letter from LHDN as verification)
- Bank (letter from bank as a verification that you are the account holder/ bank statement)

Note : you can have your medical checkup by a private doctor however there's a part in your medical checkup form (Witness) which has to be signed by a government servant. Plus you will need to have the lab to chop your medical report too! Some suggest to go to Klinik Kesihatan to do it as they are more familiar with the process (but they are kinda blur too, you have to make sure they sign at the correct column! The lab forgot to chop for me and I have to rush to the lab to get the chop - thank goodness I have not left the clinic.)


Step 5 : PTM 
- The Surat Tawaran for PTM will only be available one week before PTM, so it will be quite a hassle if you have to get it certify again for your hospital. (Some hospitals want your PTM letter to be certified, some does not)
- No CTC needed for submission to PTM. 
- One copy of Surat tawaran pelantikan
- One copy of your medical checkup
- One copy of your provisional registration certificate
- Two copies of Borang Profil Peserta (obtained from e-houseman about 1-2 weeks after eHO)





After all these documentation, you will want to have some rest before proceeding with PTM, hospital orientation and tagging etc. Good luck and all the best!

  8. Hi the KK lab that I did my urine test do not have their own official lab stamp so they just use the KK stamp. Is this ok? if not what should I do? Thanks and hope to hear from you soon:)

    1. One language (English / Malay) is enough if you are from a university in Malaysia; if you are from an overseas university, then you will have to provide the original document and another document for the translation (if the original document is not in English / Malay)
